Volunteer Event Coordinator

A new volunteer event coordinator role has been created in order to support the seasonal events so we can develop.

Garden Folk cic Event Coordinator Volunteer Role
This is an opportunity for an enthusiastic volunteer to develop their event management skills, to help shape the future of Garden Folk community events and to give back to the community. The coordinator volunteer would work with Alex in planning the events and would be responsible for delegating tasks to other Garden Folk volunteers as required.
Community Event history and outline
In 2021 Alex started running the well attended events to welcome the local community on site to the garden and farm, connect people to the land and seasons and to raise funds to support the ongoing activities of Garden Folk.
These events have developed to have their own identity and aesthetic with returning communities and individuals coming to contribute entertainment, stalls, activities, etc. They are well attended, joyful and generate significant revenue for the organisation.
The Role
This opportunity would suit an enthusiastic individual who has outdoor event management experience and who would like to support and be part of Garden Folk cic as a core, lead volunteer.
Dates for events in 2025 (and beyond if possible) will be decided with Alex in order to schedule
a series of events and we would aim to release this programme in February 2025.
We would like to run a maximum of 4 and a minimum of 2 events in 2025; although if there is good reason to increase that number then this can be considered.
Role tasks
For all the events the following tasks must be fulfilled (although this is not an exhaustive list)
● Register Temporary Events Notice with Bristol City Council
● Marketing, mostly putting info into canva templates for social media, newsletters, local
publications & listings
● Posters - each year one artist is approached to do the posters for the events and they
are then put together by V into a poster. Liaison between Artist and V Graphic Designer
● Stallholders - organise their attendance, advertise to new stallholders
● Map out event activities with Alex
● Be responsible for the bar and catering provision (including placing relevant orders) and on the day management
● Request and check all participants have necessary public liability insurance
● Plan decor
● Carry out risk assessment and share
● Organise various elements of the entertainment including liaison with artists, supporting them, planning what they need for their performances, this includes choirs, djs, morris dancers, workshop leaders, artists, performers etc
● Invite new organisations / performers to attend (to be planned with Alex)
● Timetable on the day roles for coverage of the bar, activities etc.
● Review each event in order to learn how to improve and celebrate positive events
● First aid training to be undertaken if not already
Must haves:
● First aid training (or commitment to undertake first aid training prior to the first event if the training hasn’t already been done)
● Experience managing a team
● Awareness and willingness to work sustainably
● Strong attention to detail
● Strong organisational skills
● Good time keeping
● Experience in the voluntary sector, events and/ or food desirable
● Experience in managing health and safety in the workplace / public events or a willingness to learn
● Experience managing a budget
● Positive mentality
● Active in the local community
Useful skills
● Full driving licence and access to a car
This is a one year post with a view to extension.
Crowdfunding / fundraising for the role
If you have experience in applying for funding or crowdfunding you would be welcome to do so in order to support the role. There is good evidence and some data available to support applications.
Why volunteer?
As a not for profit community interest company Garden Folk offers these events to the
community to bring them together to celebrate, learn, share and gather on the land. The
organisation needs support in order to continue to provide these very successful and engaging
events as Garden Folk becomes more established, we need more people to be involved and be
part of this inspiring organisation. . These events raise funds through the bar, food and our own
stall and also are a great showcase for what we grow here. You will be giving back a lot to the local community, connecting with them and bringing them in to share their skills.
All event costs will be covered by Garden Folk cic. Necessary training including first aid would be funded by Garden Folk cic.

Please include in this confirmation that you would be available to cover up to four events through the year.
Interviews will be held on the week of the 10th February with the role beginning the last week of February.
